## General Information

Per <u>[University policy](https://hr.uconn.edu/benefits-leaves/absence-management/other-leaves-of-absence/)</u>: “Sabbatical leave is a privilege to be applied for in each case and is in no instance to be considered an earned perquisite. Such leaves may be granted on application for the purpose of the advancement of knowledge or professional improvement of mutual benefit to the University and the individual. Following such leave, individuals are obligated to return to active service at the University for a minimum of one year.”

If a faculty member has an appointment longer than 9 months, they are required to return to their 9-month base faculty appointment during the academic term of their sabbatical. Their appointment term and pay will be adjusted accordingly during the leave.

The CLAS Business Office will share a list of faculty members who are becoming eligible for sabbaticals with the department head or unit leaders as part of the Budget and Staffing process.

## Request Deadlines and Process

Applications for fall or full academic year sabbaticals must be received in the Dean's Office by Aug. 1 of the preceding year.

Applications for spring or full calendar year sabbaticals must be received in the Dean's Office by Jan. 1 of the preceding year.

To request sabbatical leave, the faculty member must:

- Log into their Core-CT account using the UConn <u>[employee self-service portal](http://ess.uconn.edu/)</u>. Note that Core-CT is available every day between 4 a.m. to 8 p.m. EST, except every other Thursday for Pay Confirm.
- Follow the steps in the <u>[sabbatical job aid.pdf](https://ess.uconn.edu/wp-content/uploads/sites/1861/2018/08/Sabbatical.pdf)</u>. Include the following material:
  - A one to two-page summary of the proposed research that the faculty member will undertake while on sabbatical.
  - A current CV or a summary of the faculty member's scholarly productivity over the past 6 years.
  - (Optional) Any additional information that the faculty member wishes to include to support their request (e.g., letter of invitation).

## Approval process

The completed application must be reviewed by the department head, and if applicable, any center, institute, or program director (if the faculty member is affiliated with a secondary unit). If the faculty member is at a regional campus, the request will also be routed to the regional campus dean. The department head should review the sabbatical leave form in Core-CT. Heads are responsible for managing their faculty away time to ensure that the teaching responsibilities of the department can be met. The department head will confirm they have reviewed the leave request and approve or deny it. Comments should be included before they approve or deny the request.

Salary funds released from academic year sabbaticals return, in their entirety, to the Dean's office. Course coverage needs should be addressed through the staffing plan process.

## Modification

A faculty member may modify a sabbatical leave request by logging in to Core-CT and following the <u>[job aid for submitting or modifying a sabbatical.pdf](https://ess.uconn.edu/wp-content/uploads/sites/1861/2018/08/Sabbatical.pdf)</u>.

The request will automatically be forwarded for review to the department head, Dean’s Office, and HR/Provost for approval.

## Questions Regarding Eligibility

Questions regarding eligibility should be directed to the <u>[clas@uconn.edu](mailto:clas@uconn.edu)</u>. CLAS will consult with the Leave Administrator in Human Resources. However, eligibility does not guarantee approval by the administration at any level.

## Sabbatical Final Report

After completing a sabbatical leave, faculty must submit a detailed report on activities and accomplishments within the first two months of the semester in which the faculty returns. The KualiBuild reporting form “CLAS Sabbatical Report” will be sent to the faculty member by the Dean’s Office at the beginning of the semester in which the faculty member returns. The report requires the following information:

- Description of main activities carried out during the sabbatical leave (including research undertaken and, if applicable, travel connected to that research).
- Explanation of how the sabbatical altered and/or advanced the faculty’s research trajectory.
- List of conferences, presentations, performances, and/or exhibitions.
- List of all written works published, in progress, or submitted.

The completed report will be sent to the faculty member, the department head or unit director, and the Dean’s Office.
